Subscriptions and Recurring Billing: Getting the Money Side Right
Billing is a product feature, not an afterthought
If you sell subscriptions, your billing system is as important as the product itself. It decides whether revenue arrives reliably and whether customers trust you enough to stay.
Too many businesses treat it as a quick integration bolted on at the end. The result is awkward edge cases, surprise charges and support tickets that erode goodwill.
Treating billing as a core part of the experience, designed and tested properly, pays for itself in retention and fewer refunds.
Failed payments quietly cost you the most
The biggest leak in most subscription businesses is involuntary churn: cards that expire, fail or get declined. These customers wanted to keep paying, they just couldn't.
A good setup handles this with automatic retries on a sensible schedule, clear email reminders, and a simple way to update card details. Dunning, done well, recovers a meaningful share of otherwise lost revenue.
The honest caveat is that aggressive retries can annoy people and trigger bank flags. The aim is persistent but respectful, not relentless.
Upgrades, downgrades and proration need clear rules
Decide upfront how plan changes behave, because the maths gets confusing fast. If someone upgrades mid-cycle, do you charge the difference immediately or on renewal?
Proration keeps things fair but can produce odd-looking invoices that customers query. Sometimes a simpler rule, such as changes taking effect next cycle, causes fewer support headaches.
There is no universally right answer. What matters is that the rule is consistent, explained plainly, and reflected accurately on every invoice.
Lean on a billing platform before building your own
For most businesses, Stripe Billing, Chargebee or a similar platform handles the hard parts: tax, invoicing, dunning and card updates. Building this from scratch is rarely worth the effort.
Where custom work earns its keep is the glue: syncing subscription state with your app, gating features correctly, and surfacing billing clearly in your own interface.
You should only build a bespoke billing engine when your pricing is genuinely unusual, and even then, think hard first. The regulatory and edge-case burden is heavy.
Get the boring compliance details right
VAT and sales tax on digital goods vary by country, and getting this wrong creates liabilities that compound quietly over time. Most billing platforms can calculate and apply the correct rates, but you still need to configure them properly.
Strong Customer Authentication means some payments require an extra verification step. Your flow needs to handle that gracefully rather than silently failing the charge.
Keep clear records, make cancellation straightforward, and never bury the terms. Trust in a recurring relationship is hard to win back once lost.
Build billing that customers barely notice
The best recurring billing is invisible. Payments go through, invoices are clear, changes are easy, and nobody has to email you in a panic.
We build and integrate subscription systems that handle the awkward cases properly, so your revenue is predictable and your support inbox stays quiet.
If you are launching a subscription product or wrestling with a billing setup that keeps causing problems, we would be glad to talk it through.
