How We Built a Digital Asset Management System for Brand Teams

We built a digital asset management system to solve exactly that. It began as an internal development project, designed from the start to be something we could tailor and resell to clients who needed a proper home for their brand assets.
Why brand assets need proper management
Most businesses store their assets in a mix of shared drives, email attachments, cloud folders and individual laptops. That works until the team grows or the brand evolves.
Then the problems appear. Nobody is sure which version of the logo is current. Old campaign images get reused by mistake. Large video files clog up email. New team members cannot find anything. External partners are sent assets through insecure links that never expire.

A shared library with the right level of access
At the centre of the system is a single shared library. Everyone who signs in sees the same folders and files, so there is one version of the truth rather than scattered copies.
Access is controlled by role. Administrators manage the whole system and its users. Standard users can upload, organise, edit and share assets. Read-only users see only the folders and assets they have been granted, which is ideal for external partners or wider staff who simply need to download approved material.
Administrators can create accounts, change roles, enable or disable access and manage exactly what read-only users can see. That keeps control of the brand in the right hands.
Uploads that handle real file sizes
Marketing assets are often large. High-resolution photography and video can run to hundreds of megabytes. Many systems struggle with files of that size, or make uploading slow and unreliable.
We designed uploads to go straight from the browser to secure cloud storage, with drag-and-drop support, multiple files at once and clear progress indicators. There is no awkward file-size ceiling, and large uploads do not slow the rest of the system down.
Finding the right asset quickly
A library is only useful if people can find what they need. The system supports nested folders for structure, along with tagging and search across names, tags and folders.
Images, video, audio and PDFs can be previewed directly in the browser, and anything else can be downloaded. Users can confirm they have the right file before they use it, rather than guessing from a filename.
Sharing assets safely
Sharing is where brand control is often lost. The system creates a shareable link for any individual asset, with an optional expiry date so access does not last forever.
When delivery through a content delivery network is enabled, shared assets load quickly for the recipient wherever they are. It is a controlled, professional way to send assets to clients, press or partners.
Built to scale without runaway costs
Because the system was always intended to be resold, it had to be efficient to run. It uses modern cloud infrastructure that scales with demand, and it includes built-in usage monitoring with early warnings as storage and activity approach their limits.
That makes running costs predictable and avoids unpleasant surprises as a library grows.
Security built in from the start
Brand assets have real commercial value, so security was not an afterthought. Sign-in credentials are securely hashed, stored files are kept private by default, and every asset is tied to controlled access rather than left openly available.
